Spring General Meeting
February 15,2024
The Women’s Softcourt League of Birmingham held the Spring General Meeting on Thursday, February 15,2024 at 10:00 am at Vestavia Country Club. (Level coordinators held a short meeting at 9:30 to review their responsibilities.) All Club Representatives were present or represented. All Level Coordinators were present except Level 2.5 and 5.5. All Officers were present. There were 26 Members in attendance for the formal meeting including officers.
President, Julie Cundiff, welcomed everyone to the meeting, introduced the officers and called the meeting to order. Meg Sullivan, Secretary, called roll and asked if there was a motion to approve the minutes from the Fall Meeting as posted on the website. Motion made to accept minutes by Samantha Ebert, seconded by Linda Tisdale and approved unanimously.
Treasurer, Emily Key, presented the financial report. We began the Fall season with $10,046.95. Total expenses were $6,611.40 - executive planning/meetings $425.45, fall prizes $5,073.13, printing/supplies $202.98, website upgrades $450.73. Fall 2023 team fees collected (111 x $70) $7,770. Cash balance 8/24/2023 is $11,135.55.
Julie Cundiff, President, announced winners and the runner’s up for the Fall 2023 season. Prizes were delivered to clubs prior to the meeting.
Samantha Ebert, Vice-President, reported that we have 110 teams, 1,269 players, and which 2.5 and 4.0 levels have 2 divisions. In the 2.5 level, 1 division has 8 matches while the other only has 7. The schedules have been entered to the website and are now final. The season will begin the week of March 4 and finish all matches by May 17.
Samantha reminded club representatives that strength rosters must be in by midnight March 5th, even if the team's first week is a Bye. Everyone on the team roster must be on the strength roster; every court must have players listed on them (minimum of 2 per doubles court.) If a player is ineligible to play, list them as 5 or 6 on SR. Failure to comply will result in the first set of each court forfeited for each match played until strength roster is entered. Captain must provide a strength roster and score sheet every match. Level coordinators need to remind teams that Team Forfeits will NOT be allowed. Position forfeits are allowed. Please review forfeit rules in rule book. LC’s encouraged to remind captains how rescheduling works and consequences.
New Business

● Julie Cundiff, President, announced the 2023 Fall Stat Winners. 26 women made stats Singles- 11; Doubles-18; 15 moving up, 10 staying at current level but must play #1 position. Julie also reported that there were 36 MDR in 2023. 20 so far for Spring 2024. MDR must must be made by 2/19. List will be sent to LC and club reps when final.
● Emily Key, treasurer, proposed $2500 donation to LETT. Learning Excellence Through Tennis. Motion to approve made by Ramona Cunningham, second by Licky Randolph. Unanimously approved.
Julie reported that Match day helper is now included in rule book and on the website. Secretary will email all captains to ask for acknowledgement of receiving rule book.
Rules and Policy Changes
Julie stated that the executive committee will be reviewing a heat advisory/warning policy for the fall 2024 season.

Door prizes were distributed.
The meeting was adjourned at 10:25 a.m.
