Spring General Meeting
February 18, 2026

The Women’s Softcourt League of Birmingham held the Spring General Meeting on Wednesday, February 18, 2026 at 10:00 am at Country Club of Birmingham. (Level coordinators held a short meeting at 9:30 to review their responsibilities.) All Club Representatives were present except Old Overton Club and Lake Cyrus. All Level Coordinators were present except Andrea Warren, 2.5. All Officers were present. There were 27 Members in attendance for the formal meeting including officers.

President, Meg Sullivan, welcomed everyone to the meeting, introduced the officers and called the meeting to order. Megan Wise called roll and asked if there was a motion to approve the minutes from the Fall Meeting as posted on the website. Motion made to accept minutes by Meg Sullivan, seconded by Betty Austin and approved unanimously.

Treasurer, Emily Key, presented the financial report. We began the Fall Season with $10,065. Total expenses were $6,475.13 - prizes $6,400, printing/supplies $102, website/Google $75, board meeting $804. Spring 2025 team fees were $8,640.Cash balance 2/18/2026 is $11,324. Motion to accept Treasurer’s report by Samantha Ebert and seconded by Betty Austin and approved unanimously.

Meg Sullivan, President, announced winners and the runner’s up for the Fall 2025 season. Prizes were available to be picked up at the meeting.

Meg Sullivan, President, announced Fall Stat winners. 33 players made stats, Singles-13; Doubles-15, Singles/Doubles-5(excludes 5.5).

● Meg Sullivan, Vice-President, reported that we have 108 teams, 1,229 players, 4.0 level has 2 divisions. . The season will begin the week of March 2nd. Last match is May 12th.
Meg reminded club representatives that strength rosters must be in by midnight March 1, even if the team's first week is a Bye. Everyone on the team roster must be on the strength roster; every court must have players listed on them (minimum of 2 per doubles court.) Every player must be listed for both singles and doubles. Failure to comply will result in the first set of each court forfeited for each match played until strength roster is entered. Captain must provide a strength roster and score sheet every match. Level coordinators need to remind teams that Team Forfeits will NOT be allowed. Position forfeits are allowed. A team must play 3 courts for it to count as a match. If a match is forfeited, the captain will sit out the next season. Players may play up one court or down one court from where they are listed on the stength roster. Please review forfeit rules in rule book. LC’s encouraged to remind captains how rescheduling works and consequences. Encourage captains to work things out.

Meg Sullivan reported the Move-Down request approvals

Meg Sullivan reported that Match day helper is now included in rule book will be on the website. Secretary will email captains a google form to sign for acknowledgement that they have read the rule book.

New Business:
Susan and Anne Marie noted that there was lots of difficulty with scheduling due to court space. Consider court space for matches considering number of teams. Asked to consider asking pros for more court availability. Meg noted that the prods handle court space but that we can encourage more space to be given.

Jane Miller asked that everyone remember that this is for fun, fellowship and community and that we encourage reschedules at the captain level. Requested a culture of grace.

Meg Sullivan asked to please remind teams that they cannot play a sub at 1st court. And to please remember that if a softcourt player is an employee or wife of an employee of the club that the player will need a letter each season from the club’s manager/owner verifying that the player has club/membership privileges.

Meg Sullivan announced that we will be enforcing strength roster penalties. A report is generated every week and players are only allowed to move up or down one court without permission from LC or president. Playing out of strength roster will result in a court forfeit.
